1 Travel Grants for Educational Purposes

Travel Grants for Educational Purposes is Accepting Applications

Overview

Amount: up to $2,000

Total amount in fund: $30,000

Description: Funds are available to assist faculty attend meetings of learned societies, organized conference and meetings to present original creative educational work product to attendees.

Criteria:

  • The meeting of learned societies, organized conferences and meetings must be education focused.
  • UCSF faculty appointment must be at 50% or greater.
  • Applications must be submitted at least four weeks prior to your planned travel.
  • Award is for airfare and hotel only up to $2,000.
  • Applicants may receive one grant in any 12 month period.
  • Applicant must be attending to present original product showcasing educational work.
Application Process:

Applications must include:

  • The Travel Grant Application Form.
  • Signature of both the applicant and the Department Chair.
  • Estimation of flight reservation/airfare cost.
  • Estimation of hotel cost.
  • Documentation of invitation or letter of acceptance to present educational materials or for conference attendance, a copy of conference announcement/invitations which includes information about the learned society and dates which match dates for which travel has been requested.
  • Please describe the creative educational work that you will be presenting (1-2 sentences.)

2. Travel Grants for Research Presentations

Travel Grants for Research Presentations is Accepting Applications

Overview

Amount: $1,500

Total amount in fund: $30,000 ($15,000 available starting January 22, 2019, and $15,000 available starting May 1, 2019)

Description: Funds are available to assist faculty attend meetings of learned societies or organized conferences in order to present important results of original research.

Eligibility: UCSF Faculty in any series (Clinical X, In Resident, Ladder Rank, Adjunct, HS Clinical) and all ranks (Assistant, Associate, Full Professor) are eligible to apply for this travel grant.

  • Faculty must be at least 50% time and cannot be WOS
  • Non faculty academics including but not limited to Specialists and Professional Research Series are not eligible.
  • Applicants may receive no more than one Chancellor’s Fund grant within any 12 month period.
  • Applicant may not submit a separate application for another Chancellor’s Fund grant during the same cycle.

Criteria: The Academic Senate Committee on research will give preference to applications for speaking presentations. Requests for poster presentations require a justification of impact.

Eligible Expenses: The award must be used for conference fees, airfare, and/or lodging. Award for hotel limited by University of California Policy BFB-G-28. International travel is permitted under this funding opportunity.

Application Instructions:

    • Complete the application form including obtaining a signature from the Department Chair or Division Chief.
      • Include a budget with estimated costs of conference fees, airfare, and lodging.
      • Include documentation of the invitation or letter of acceptance to present important results or research in applicable. If only traveling for the purpose of learning and development, include a copy of the conference announcement/invitation.
      • Include a brief description of the presentation.
    • Upload and submit your application and supporting documents via the Senate Service Portal.

3. Travel Grants for Dependent Care

Travel Grants for Dependent Care is Accepting Applications

Overview

Amount: $2,000

Total amount in fund: $20,025

Description: Faculty members must use these funds for one conference/ meeting where they are giving a podium presentation.

Eligibility: Rank: Assistant, Associate or Professor. Series: All academic series. This is not open to School of Medicine faculty (please see fifth bullet below under application process.)

Criteria:

  1. The Faculty Travel Award is for faculty members who have childcare, eldercare or other dependent care responsibilities and who plan to present and attend a regional, national or international professional meeting.
  2. The Faculty Travel Award is intended to facilitate faculty members' attendance at professional conferences and meetings. In order to apply for the travel award, the faculty member must make a professional presentation at the conference and demonstrate that attending the conference is important for advancing his/her career.
  3. The faculty member must utilize the Faculty Travel Award funds to support childcare, elder care or other dependent care expenses that are incurred in conjunction with the faculty member's attendance at the professional conference/meeting.
  4. Faculty Travel Awards for Dependent Care Funding Criteria

    The Faculty Travel Award funds may be used for dependent care at the site of the conference/meeting or for additional dependent care at home, while the award recipient is traveling to a conference/meeting. The funds can be used for on-site care or transportation costs for the dependent(s) or caregiver(s). The award recipient will certify that the requested funds for dependent care are additional expenses due to the travel and are above and beyond normal dependent care expenses.

    For single caretakers and faculty members whose spouse/partner is not available for child care or dependent care due to work obligations or extenuating circumstances, the Faculty Travel Award can be used for child, elder or dependent care expenses.

    Allowable expenses
    The Faculty Travel Award funds may be used for child, elder or dependent care expenses at home or at the conference:

    • Travel expenses for the dependent and, if appropriate, for the caregiver
    • Accommodations for caregiver if s/he stays overnight with the dependent
    • On-site daycare expenses
    • Reasonable dependent care expenses over and above the costs, if any, that you would normally incur at home or if your dependent must travel with you during the trip
    The Faculty Travel Award funds may NOT be used for:
    • Child care, elder care or dependent care expenses at home that would normally be incurred (i.e., aftercare at school, dependent care that is provided on an on-going basis)
    • Meals, groceries for the dependent(s) or the caregiver(s) (i.e., normally occurring provisions)
    • Any of the faculty member’s expenses
    • Conference registration for the faculty member
    • Other expenses not associated to the additional care or travel of the dependent(s)
    Who qualifies as a dependent?
    A dependent is defined as:
    1. a healthy child (≤ 12 years) who resides with the applicant and for whom the applicant is a primary caregiver; or
    2. a child/adolescent (≤18 years) who is physically or mentally disabled, requires assistance with daily activities, resides with the applicant, and for whom the applicant is a primary caregiver; or
    3. a disabled adult/elder (spouse, parent, parent-in-law or grandparent) who spends at least eight hours every day in the applicant's home and for whom the applicant has caregiving responsibility.
Application Process:

Applications must include:

  • The Travel Grant Application Form.
  • No less than thirty days before the conference/meeting begins, the faculty member submits a brief description (one paragraph) that summarizes why the Faculty Travel Award funding is important and the anticipated impact of the faculty member's attendance at the conference/meeting.
  • No less than thirty days before the conference/meeting begins, the faculty member submits a budget that describes how the Faculty Travel Award funds will be used to support expenses for childcare, eldercare or dependent care. The expenses for childcare, eldercare or dependent care may be incurred at the site of the professional meeting or at home. $2000 is the maximum amount of support for childcare, eldercare or dependent care that can be requested through the Faculty Travel Award.
  • Requests will be reviewed and granted on a rolling basis from early February 2019 onward until funds are depleted.
  • The Senate is allocating the funds evenly across all four schools. SOM faculty must apply to the SOM Faculty Travel Awards for Child, Elder, or Dependent Care.  No SOM faculty applications will be accepted by any other procedure. All other schools (SOD, SON, and SOP) apply directly through the Senate Service Portal and identify your school.
