1 Conference Registration and Travel Grants for Educational Purposes
Overview
Amount: up to $1,200
Total amount in fund: $41,000
Key Dates:
Applications will be accepted until TBD. Applications will be accepted and awarded on a rolling basis, first accepted as of January 29, 2024.
Description: Funds are available to assist faculty in attending meetings of learned societies, organized educational conferences, and other meetings to present original, creative, and educational work products to attendees.
Criteria:
- The meeting of learned societies, organized conferences and meetings must be education focused.
- UCSF Faculty in any series (Clinical X, In Residence, Ladder Rank, Adjunct, and Health Sciences Clinical), at any percentage of effort, are eligible to apply.
- Non faculty academics including but not limited to Specialists and Professional Research Series are not eligible.
- Applications must be submitted at least four weeks prior to your planned meeting or conference.
- Award is for registration fees and travel expenses (airfare/hotel) only.
- Applicants may receive one Conference Registration/Travel Grant in any 12 month period. Applicants may apply to other Chancellor’s Fund programs.
- Applicant must be attending to present original product showcasing educational work.
- Applicants must complete a short survey that will be sent within one month of the conference, if funds are awarded.
- Co-presenting teams: CEP will not award funds to multiple faculty that are co-presenting a poster presentation. Multiple faculty who are co-presenting a discussion or panel presentation, where each faculty is assigned a part of the presentation, can receive funds for the same presentation.
Application Process:
Applications must include:
- The Conference Registration Grant Application Form - Educational Purposes.
- Signature of both the applicant and the Department Chair.
- Description of the creative educational work that you will be presenting (3-5 sentences.)
- Documentation of invitation or letter of acceptance to present educational materials or for conference attendance.
- A copy of conference announcement/invitations which includes information about the learned society, dates which match dates for which travel has been requested, and the conference registration fee amount.
- Hotel and airfare receipts that match the conference dates and location, if applicable. Funds requested for hotel and airfare must be in accordance with the UCSF reimbursement policies for travel expenses.
- Upload and submit your application and supporting documents in a single combined PDF via the Senate Service Portal.

2. Conference Registration and Small Grants for Researchers
Overview
Amount: $1,000
Total amount in fund: $35,000
Key Dates:
Applications will be accepted and awarded on a rolling basis in two waves. The first wave will start on January 29, 2024, and $18,000 will be awarded in this wave. The second wave will start on June 1, 2024, and the remaining $17,000 will be awarded in this wave.
Description: Funds are available to assist faculty researchers.
Eligible expenses:
- Conference registration and travel expenses (airfare/hotel)
- Software expenses
- Publication fees
Eligibility:
- UCSF Faculty in any series (Clinical X, In Residence, Ladder Rank, Adjunct, and Health Sciences Clinical) and at all ranks (Assistant, Associate, Full Professor), at any percentage of effort, are eligible to apply.
- Non faculty academics including but not limited to Specialists and Professional Research Series are not eligible.
- Applicants may receive no more than one Conference Registration/Travel Grant within any 12 month period. Applicants may apply to other Chancellor’s Fund programs.
Criteria: For Conference Registration Grants, the Academic Senate Committee on Research will give preference to applications for speaking presentations. Requests for poster presentations require a justification of impact. Please submit your application prior to the date of travel.

- Include a budget with estimated costs of conference fees,
- Include documentation of the invitation or letter of acceptance to present important results or research.
- Include a brief description of the presentation.
- Upload and submit your application and supporting documents via the Senate Service Portal.

- Software and Publication Grant:
- Applications for software and publication fees should upload a word document with the budget request and budget justification for the small grant.

3. Virtual Conference Registration Grants
Overview
Amount: $1,000
Total amount in fund: $9,000
Key Dates: Applications will be accepted and awarded on a rolling basis, first accepted as of January 29, 2024.
Description: Because of the impacts of travel on carbon emissions, the Academic Senate Committee on Sustainability is providing funds to support faculty in attending conferences virtually rather than in person.
Eligible expenses:
- Virtual conference registration
- $100/day stipend to help support expenses associated with virtual conference attendance (e.g., meals, childcare)
Eligibility:
- UCSF Faculty in any series (Clinical X, In Residence, Ladder Rank, Adjunct, and Health Sciences Clinical) and at all ranks (Assistant, Associate, Full Professor), at any percentage of effort, are eligible to apply.
- Non-faculty academics including but not limited to Specialists and Professional Research Series are not eligible.
- Applicants may receive no more than one Conference Registration/Travel Grant within any 12 month period. Applicants may apply to other Chancellor’s Fund programs.
Criteria: Applicants must attest that they are choosing to attend the conference virtually rather than in person. Please submit your application prior to attending the conference.

- Complete the application form including obtaining a signature from the Department Chair or Division Chief.
- Include estimated conference fees and days attending. Successful applicants will be awarded a $100/day stipend as long as the maximum total award of $1,000 has not been reached.
- Include documentation of the invitation or letter of acceptance.
- Include documentation that you plan to attend the conference virtually (e.g., an acceptance letter or screenshot of your registration and payment confirmation).
- Upload and submit your application and supporting documents via the Senate Service Portal.
- Complete the application form including obtaining a signature from the Department Chair or Division Chief.
