UCSF ACADEMIC SENATE RESEARCH TRAVEL GRANT PROGRAM

CRITERIA AND INSTRUCTIONS FOR APPLICATION

The Academic Senate Committee on Research Travel Grant Program was reinstituted as of July 1, 2005. Limited funds are available to assist new and junior faculty for each application cycle.  Funds are awarded on a first come, first served basis.

CRITERIA:

  1. Applicants must have a UCSF faculty appointment at 50% or greater with five years or less at UCSF.
  2. Funds may be used to attend meeting of learned societies or organized conferences and meetings to present important results of original research.
  3. Grants must be submitted at least two weeks prior to your planned travel.
  4. Individual grants will be awarded for air travel only in an amount of up to $500.00 maximum.
  5. You may only apply for funds in advance of your planned travel. Applications will not be accepted for travel which has already taken place.
  6. Individual faculty members may receive no more than one grant in any one year (12 month) period from the date of a previous grant award.
  7. Faculty members should endeavor to use the State Airfare Travel program when possible, especially if doing so will result in a lower airfare rate. Contact UCSF Accounting for more information: stateairfare@accounting.ucsf.edu.
  8. If you are awarded a Travel Grant from the Academic Senate, you must file a Travel Expense Voucher (TEV) within 10 days of the completion of your travel and provide the Academic Senate a copy of this completed form.  Instructions will be included in the award letter. This action will officially close out your grant with the Academic Senate and allow eligibility for future Travel Grants.  NOTE:  This form is to be completed by you or your department.  Please consult your departmental MSO if you need assistance.

APPLICATION PROCESS:

  1. Download Travel Grant Application Form from the Academic Senate website at the following URL: www.ucsf.edu/senate/0-funding/as-travelgrants-FORM-U196.pdf - Funding Opportunities/Travel Grants.
  2. Applications must be signed by both the applicant and the Department Chair Applications must be complete and include all required signatures in order to be processed.
  3. All applications must include:
    1. A copy of the confirmed flight reservation/ticket purchase or State Airfare Program purchase including the total amount of airfare cost.
    2. Documentation of invitation, or letter of acceptance to present original research OR for conference attendance, a copy of conference announcement/invitations which includes information about the learned society and dates which match dates for which travel has been requested.
  4. Incomplete applications, applications without all required signatures, applications with missing documentation i.e. confirmed flight reservation/ticket purchase; invitation; letter of acceptance for presentation of research; or attendance at learned societies cannot be processed and will be returned.
  5. You will be notified by email if your grant application has been approved or denied.
